  • VDI will remain the primary IT workspace, while the PC will serve as an emergency workspace. Data on the PC will not be backed up and is less secure against physical theft or damage. Please continue to prioritize VDI where feasible.

  • Personal use of the work environment (IT environment provided by SYPL) should be kept to a minimum.

  • The use of environments other than the work environment for work purposes is strictly prohibited.



[HOW TO LOG IN TO VDI]

  1. Turn the PC on.

  2. Enter the BitLocker PIN for the PC.

    *The BitLocker PIN is a 4-digit PIN that is required every time the PC is shut down or restarted.

  3. Log in using ID@jpn.marubeni.com and your VDI/PC password.

  4. Wait for VMware Horizon Client to load or launch from shortcut if it does not load automatically.

  5. Click marubeni.dizzion.com.

  6. Log in using your ID and your VDI/PC password.

  7. Click NCSA-VM####

  • BitLocker PIN at Startup (New for Laptop Users): Security is our top priority. Laptop users will now have the added protection of BitLocker PIN at startup, further safeguarding your data from unauthorized access. Rest assured that your information remains secure, even in the event of a lost or stolen device.

    • This will be a 4-digit PIN you will need to enter BEFORE the Windows login.

  • SecureAccess (Akamai EAA/Akamai Zero Trust) for Remote Work: Working from outside the office? No problem. With SecureAccess powered by Akamai EAA, you can securely access company resources and applications. Whether you are working from home, on the train, or a client's site, rest assured that your connection is safe and encrypted. [Security Measures]

  • Box continues to be the primary data storage, and Cloudrive will not be available on new laptop (only in VDI).  SYPL will implement data clean-up mechanism to delete old data in Download folder.

  • Let us remind you that PC screen should be locked when leaving your desk.  Don’t forget to Ctrl+Alt+Del > Lock !

[REPORT LOST DEVICE]

We urge you to review procedures regarding lost devices. Losing a PC containing business data can have significant consequences.

  • Please make sure you have access to your personal cabinet and keys, for storing PCs unattended in-office. If you have issues with your cabinet, please contact your local ADMI for support.

[FAQ]

  • Will we continue to use VDI?
    YES! VDI will remain the primary IT workspace, while the PC will serve as an emergency workspace. Data on the PC will not be backed up and is less secure against physical theft or damage. Please continue to prioritize VDI where feasible.

  • Will VDI remain on Windows 10?
    Yes, for the time being. A transition to Windows 11 for VDI will be announced separately at a later time.

  • Do I require approval from my general manager to take the PC out of the office?
    Company policy will be revised to eliminate the necessity for approval from the information manager during the next annual company policy review. Until then, we plan to make adjustments so that individual approvals will not be necessary. Further details will be communicated.

  • What if I prefer not to carry my company PC?
    You have the option to leave it securely in the office, either stored in a locked cabinet or chained to your desk.

  • What if I currently use a non-standard desktop for business purposes?
    Please await communication from Helpdesk; we are aware of your needs and will address them separately at a later date.

  • Am I allowed to keep the current Windows 10 PC if it's going to be discarded?
    No, MAC does not provide PCs for personal use to individuals as a company policy.

  • Can I use my own Bluetooth audio devices?
    Yes (only with new laptop)

*People with USB-C Ethernet dongles or docking stations may be using wired company network. Wired company network is equal to MAC-CORPORATE.

**MAC-GUEST falls under Other Network. MAC-GUEST is an external network for guests. Please use MAC-CORPORATE unless if specified otherwise and return to MAC-CORPORATE when possible. MAC-TAB should never be used by PC and is for company iPads only.

***M-INTRA is a service generally used by rotational staff members from Marubeni Tokyo. MAHRON/MAHRIS are not officially supported on Windows 11 at this time. Please use VDI or SecureApp if MAHRON/MAHRIS do not work through SecureAccess. All daily downtimes continue to apply.

For services not listed, anything that uses your VDI ID/pw for login generally requires SecureAccess under Other Networks.

Here is how to log in to SecureAccess.

  1. Open the task tray.

    • If you do not see the Akamai Zero Trust Client icon, on the taskbar, search “Akamai Zero Trust Client” and open Akamai Zero Trust Client.

    • If the Akamai ZTC icon has an x, right-click the icon and click [Authenticate Now].

    • If the Akamai ZTC icon has a check, you are logged in. Skip the rest of the procedures and try restarting any apps or services.

  2. Select the certificate “MB01-FAT-PC” when prompted.

  3. Log in to Akamai ZTC using ID@jpn.marubeni.com and your VDI/PC password.

  4. Within a minute, you should get to the Applications page. This means you are logged in. Do not do anything on this page and close the page.

  5. Open the task tray and confirm the Akamai ZTC icon has a check.

  6. Restart any apps or services that need SecureAccess if you had them open prior to Akamai ZTC login.

 

WHERE TO SAVE DATA

Please use Box. This will not change and must be adhered to more than before. Everyone has #X for personal data and #U for the department, with unlimited space and infinite backup.

  • Anything saved to the PC will NOT be backed up and is prone to leak from PC theft or loss, as well as permanent loss from physical or digital damage. Any lost data will be under the responsibility of the end user.

  • Anything saved to the VDI will remain under the following rules.

    • Desktop+Documents: 10GB size limit, limited backup

    • Downloads+Pictures+Videos: about 5GB size limit, limited backup

    • anywhere else: Do not use. No backup.

 

USING YOUR LAPTOP OUTSIDE OF THE OFFICE

Since we are moving to a laptop standard, we need every staff member to understand the security risks of working in public areas.

  • Marubeni America Corporation as a company will no longer require the approval of your Information Asset Manager to take your laptop outside of the office. However, please prioritize any rules enforced by your general manager regardless.

  • Please keep daily business in public areas to a bare minimum. When working in public areas, please turn on HP Sure View. If you must work in public areas often, please consider buying an additional privacy screen protector to add to your laptop monitor.

  • Never leave your laptop unattended. Even at home, please store in a secure locked area.

 

USING YOUR LAPTOP IN A CONFERENCE ROOM

If you are not using the conference room systems and using as a regular room, then you can use the native capabilities of the laptop. Otherwise, you can refer to the following to use the conference room systems.

For NYK MAC Central:

Please contact ADMI before reserving and receive their full guidance.

Audio:

To avoid howling, either mute the PC mic/speaker to use the conference room audio system or mute the conference room mic/speaker to use the PC audio. We generally recommend muting the PC end.

Share the screen:

For rooms with a camera, you can use the HDMI or USB-C cable in the conference room to share the screen to the TV. If simply plugging in does not start the screen-share, tap [Share] on the in-room tablet.

For rooms without a camera, you can use the HDMI cable in the conference room and switch the TV channel to use the TV as a second monitor.

HOW TO CHANGE BITLOCKER PIN

You can change the BitLocker PIN without asking Helpdesk.

  • Please avoid insecure PINs such as “1111”.

  • If you keep the original PIN at distribution, Helpdesk will retain a copy for future support. If you change the PIN, you will be responsible for remembering the PIN on your own; Helpdesk will not have a backup. If you forget the PIN, you will have to contact HELPDESK to obtain a 48-digit recovery code.

  1. On the taskbar, search “Manage BitLocker” and open Manage BitLocker.

  2. Click [Change PIN].

  3. Fill out the fields and click [Change PIN].

HOW TO CONNECT YOUR BLUETOOTH AUDIO DEVICE

  1. On the taskbar, search “Bluetooth” and open Bluetooth and Other Devices.

  2. Click [Add device]-[Bluetooth].

  3. Enable detection on your device (procedures vary).

  4. Click the device when it appears on the Add a Device window.

HOW TO ENABLE hp sure view

HP Sure View allows turning privacy screen on or off with a single keystroke. Please keep HP Sure View enabled at any public space.

  1. Press F2 to turn on or off privacy screen.

  2. Press F3 or F4 to adjust screen brightness.

HOW TO ADD Japanese

  1. Search language and open Language Settings (NOT Office Language Preferences).

  2. Click Add a language.

  3. Search and select Japanese.

  4. Check or uncheck Set as my Windows display language based on your needs.

  5. Click Install.

  6. The download will take a minute. You can move on to other things.

  7. If you chose to change the display language, sign out of or restart the PC and sign back in for the change to take effect.

HOW TO set up adobe

  1. Open Adobe Acrobat.

  2. Only if you bought Adobe Acrobat Standard or Pro DC, do the following.

    1. Sign in using ID@marubeni.com (NO JPN).

    2. Navigate to [Menu]-[Help]: Install Premiere Features. If you do not see this, skip to step 3.

    3. Wait for the upgrade to finish.

  3. When you see the prompt to Open all PDFs in Acrobat, click Continue.

  4. Select Adobe Acrobat and click Set default.

  5. Under Other file storage to the left, click Add file storage.

  6. Click Add for Box.

  7. A page should open on Edge. Click Use Single Sign On (SSO).

  8. Enter ID@jpn.marubeni.com and click Authorize.

  9. Click Grant access to Box.

  10. Click Open.

HOW TO PIN APPS to the TASKBAR

  1. Open the app of your choice.

  2. Right-click the icon on the taskbar and click Pin to taskbar.

  3. Drag and drop the icons on the taskbar to reorder.

HOW TO revert to windows 10 right-click menu

This is a common request convenient for people who use 7-zip often.

  1. Open File Explorer.

  2. Navigate to [This PC]-[Windows (C:)]-[Apps]-[Scripts]: ShowFullContextMenu

  3. Confirm your right-click menu changed.

akamai 400 error

For this error:

  1. Search and open inetcpl.cpl.

  2. Navigate to [Content]-[Certificates].

  3. If you see MB01-FAT-PC, proceed to next step. If not, repeat the Akamai Zero Trust section of the user setup guide.

  4. Go back to the error page and copy the URL.

  5. Use the keyboard shortcut [Ctrl]+[Shift]+[N] to open Edge InPrivate.

  6. Paste the URL from step 4. and access.

  7. Resume step 9) from the Akamai Zero Trust section.
